- Use Hired Copilot. Hired Copilot is an AI-powered job-search assistant. Users upload their résumé and paste a job posting, and the service generates a tailored résumé and cover letter, tracks their job applications, and generates practice interview questions with feedback. Hired Copilot also has an employer side. Employers can create a company profile, verify their company domain, post job listings, and receive and review applications. When a job seeker applies to a listing, we use AI to score how well their résumé matches the job description and, optionally, to run a short text-based interview, so the employer can review applicants. Employers make all hiring decisions; our AI assists but does not make automated decisions and never automatically rejects anyone.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

The personal information we collect may include: names; phone numbers; email addresses; job titles; résumé / CV files and parsed content; employment and education history; skills; job postings or descriptions provided by the user; interview practice answers; company name and business information; company domain and domain-verification details; job applications and any message sent to an employer.
Sensitive Information. We do not process sensitive information.
Payment Data. We may collect data necessary to process your payment if you choose to make purchases. All payment data is handled and stored by Gumroad. You may find their privacy notice at https://gumroad.com/privacy.
Social Media Login Data. We may provide you with the option to register with us using your existing social media account details. If you choose to register in this way, we will collect certain profile information about you from the social media provider.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

- To operate the employer side of the Services. Enabling employers to post job listings and receive and review applications, and enabling job seekers to apply to listings.

- Verifying employers and preventing fraudulent listings. We process company domain and verification details to confirm employers are genuine businesses and to prevent fake or spam job listings.
3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason to do so under applicable law.
If you are located in the EU or UK: We rely on the following legal bases: Consent; Performance of a Contract; Legitimate Interests (diagnose problems and/or prevent fraudulent activities; understand how our users use our products; protect against/prevent fraud, abuse, and unauthorised access; maintain/secure the service; protect job seekers and maintain trust and safety on the Services); Legal Obligations; Vital Interests.
If you are located in Canada: We may process your information if you have given us specific permission (express consent) or in situations where your permission can be inferred (implied consent). In some exceptional cases we may be legally permitted to process your information without your consent.

Other users (employers). The Services connect job seekers and employers. When you apply to a job listing, the information in your application — your résumé and the personal information it contains, any message to the employer, your job-description match score, and any interview answers and scores — is shared with the employer who posted that listing so they can review it. The employer is an independent controller of that information. See EMPLOYER FEATURES AND JOB APPLICATIONS below.
We also may need to share your personal information in the following situations: Business Transfers — we may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
5. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.

As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools are designed to enhance your experience and provide you with innovative solutions.
We provide the AI Products through third-party service providers ("AI Service Providers"), including Anthropic and OpenAI. As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.
Our AI Products are designed for: text analysis; AI applications; AI document generation; AI insights; natural language processing.
All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process.
7. HOW DO WE HANDLE YOUR SOCIAL LOGINS?
In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
Our Services offer you the ability to register and log in using your third-party social media account details (like your Facebook or X logins). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but will often include your name, email address, friends list, and profile picture, as well as other information you choose to make public on such a social media platform.
We will use the information we receive only for the purposes that are described in this Privacy Notice. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider.
8. IS YOUR INFORMATION TRANSFERRED INTERNATIONALLY?
In Short: We may transfer, store, and process your information in countries other than your own.
Our servers are located in the United States. Please be aware that your information may be transferred to, stored by, and processed by us in our facilities and in the facilities of the third parties with whom we may share your personal information, including facilities in the United States and other countries.
If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. European Commission's Standard Contractual Clauses: We have implemented measures to protect your personal information, including by using the European Commission's Standard Contractual Clauses for transfers of personal information between our group companies and between us and our third-party providers. These clauses require all recipients to protect all personal information that they process originating from the EEA or UK in accordance with European data protection laws and regulations. 9. HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law. No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information.

11. DO WE COLLECT INFORMATION FROM MINORS?
In Short: We do not knowingly collect data from or market to children under 18 years of age or the equivalent age as specified by law in your jurisdiction.
We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 12. WHAT ARE YOUR PRIVACY RIGHTS?
In Short: Depending on your state of residence in the US or in some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. If a decision that produces legal or similarly significant effects is ever made solely by automated means, we will inform you, explain the main factors, and offer a simple way to request human review. Withdrawing your consent: If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time by contacting us at privacy@hiredcopilot.com.
Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking the unsubscribe link at the bottom of the emails we send, or by contacting us at privacy@hiredcopilot.com. You will then be removed from the marketing lists. However, we may still communicate with you, for example to send service-related messages necessary for the administration and use of your account, or to respond to service requests.
Marketing consent records: When you opt in to our marketing email series, we keep a record of that consent so we can demonstrate it: the date and time, the exact wording you agreed to, the page you opted in on, the privacy policy version, and technical details (your IP address and browser user agent) captured at that moment. We keep this record as proof of consent, including after you unsubscribe, and we delete it when you delete your account or ask us to delete it.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can log in to your account settings and update your user account. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases.

13. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognising or honouring DNT signals, we do not respond to them at this time.

15. EMPLOYER FEATURES AND JOB APPLICATIONS
Our Services include an employer side. Employers can create a company profile, verify their company domain (using a work email address and/or a DNS record), post job listings, and receive and review applications. Job listings, including the employer's company name and the role details, are shown to job seekers and may appear on public listing pages that anyone can view.
When you apply to a job listing as a job seeker, you do so through a registered account, and the information in your application is shared with the employer who posted that listing so they can review it. This includes the résumé you choose to submit (and the personal information it contains, such as your name, contact details, work history, education, and skills), any message you include with your application, your job-description match score and its breakdown, and, if you take an optional interview, your interview answers and scores. The employer that receives your application is an independent controller of that information and is responsible for its own use of it under its own privacy practices. We do not control how an employer uses the applications it receives.
16. AI-ASSISTED CANDIDATE EVALUATION
For our employer features, we use artificial intelligence to (a) extract the requirements from a job description, (b) score how well a job seeker's résumé matches those requirements, and (c) optionally conduct and score a short text-based interview. This scoring is based only on the requirements stated in the job description, not on personal characteristics such as age, name, gender, or background. These tools are designed to assist employers in reviewing applicants; they do not make automated hiring decisions. A person at the employer reviews applications and makes all decisions, and no applicant is automatically rejected by our AI. The content involved in these features — the job description, the applicant's résumé, and any interview questions and answers — is processed by our AI Service Providers (such as Anthropic) as described in the artificial intelligence section of this Privacy Notice.

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
